Summary

The Human Resources Assistant / Onboarding Coordinator is a part of the International HR Department. The
main functions of the role are to provide support with the onboarding of the new hires on a global level and
to help out with other ad-hoc Human Resources tasks on a daily basis.
The Human Resources Assistant / Onboarding Coordinator will be a point of contact in between candidates,
recruiters and HR team members.

Position Responsibilities

  • New Hires process: Ensure new hire procedure is properly completed (ensure paperwork is filled out and submit required documentation to payroll department on a timely manner)
  • Terminations process: Ensure termination procedure is properly completed (exit interview, termination documentations, etc.), ensure paperwork is filled out and submit required documentation to payroll department on a timely manner
  • Absences and leaves management: Administer employees’ leave and attendance, ensure all information and required supporting documentation are submitted to payroll department on a timely manner
  • Maintain Human Resource Information System with all updated employee data
  • Run various reports off of the Human Resource Information System
  • Ensure changes to the employees’ profiles are properly reported and submitted to payroll
  • Conduct audits to ensure that employee files have all necessary documents for local compliance
    purposes and maintain employee files with all updated employee data
  • Maintain internal trackers up-to-date
  • Assist in Managing Birth Leave processes
  • Manage Changes and Promotions, including preparation of letters and agreements
  • Assist employees in answering any pertinent questions regarding policies and procedures
  • Relocation and transfers: Administer employees’ relocations and transfers (liaise with managers and employees, ensure relocation agreements and visa application process are approved)
  • Assist in preparing visa and work permit applications
  • HRIS maintenance/implementation and Employee File integrity
  • Maintain Human Resource Information System with all updated employee data
  • Run various reports off of the Human Resource Information System
  • Collaborate with HRIS Specialist in developing new features of HRIS system to encompass all non-US employee needs
  • Assist, advise and educate employees with HRIS system usage
  • Conduct audits to ensure that employee files have all necessary documents for compliance purposes
  • External Training: Assist in managing the process of the External Trainings (FUNDAE)
  • Record/track all trainings in the Human Resource training management system and on the FUNDAE website
  • Department Administration: Perform general administrative duties to assist the HR Department: filing,
    copying, faxing, fedexing, etc.
  • Assist with other tasks and projects when required to do so
  • Perform all other duties as assigned

Essential skills and experience required:

  • Bachelor’s degree or higher in Human Resources Management, Labour Relations or related field
  • Previous experience within HR / recruitment oriented function
  • Knowledge and understanding of Spanish employment law
  • Fluency in Spanish and English
  • Decision-making / complex problem solving skills
  • Great organizational skills and attention to details
  • Ability to prioritize and work with tight deadlines
  • Ability to work independently and to collaborate with teams based globally
  • Positive attitude, resiliency, and the ability to produce high quality and volume at a fast paceWorking knowledge of MS Office
  • Ideally some prior experience with HRIS tool
